Roles, assignments, and private companies
Understand what admins and members can do, how company assignments work, and who can see owner-private companies.
In this guide
Your role controls the kinds of action you can take. Company access controls where you can take them. An admin role does not override an owner-private company's boundary.
Admins and members
| Role | Typical work |
|---|---|
| Member | Open assigned companies, inspect files, sweep, sync, review eligible work, and send under the company's controls |
| Admin | Operate accessible companies, configure connections and sending, manage companies and members, and publish firm skills |
Some workflows have an additional company permission. For example, Closing can allow assigned staff to perform reviews, while sign-off and reopening remain admin actions.
Manage shared company access
An admin uses the firm's Members page and a company's Team page to manage shared assignments. Invite the person using their own email and assign the companies they need.
After a change, ask the person to navigate again or reload. Do not work around a missing assignment by sharing another user's account. Removing an assignment should remove the company's pages and data from that member's view.
The team must retain an active admin. A pending invitation is not a replacement for the last admin who can actually sign in.
Owner-private companies
An owner-private company can be seen and operated only by its creator. Another admin receives the same not-found result as someone with no access. Shared member-management screens do not grant access to it.
Reports and aggregates follow this boundary too. A person's Global Contacts totals, Closing board, and exports include only companies that person may see. Do not compare two people's totals as though their company lists must be identical.
Archived company access
Archived companies remain readable by people who otherwise have access. New processing and configuration actions stop. Existing sends can still settle, which is why an archived company's displayed history may finish updating.
A company or file says not found
First check the selected company and, where available, firm. Ask an admin to check shared assignments. The same not-found response can mean an invalid address or a company outside your access; it is not a reason to repeatedly guess URLs.
