Read POS reports and release a sales period

Review terminal readings and monthly branch invoices before a person releases the period to Juan.

In this guide

A Z-reading describes a terminal's sales, rather than one named customer's invoice. Mendiola reads these sources into terminal readings, then plans one sales invoice per branch per month.

Set up the company

An admin configures Company settings → Sales: the POS customer, sales tax profile, required accounts such as sales, SC/PWD discounts and service charges, and the expected branches and terminals.

Missing accounting settings or expected readings can hold a period. Do not invent a reading merely to make the period appear complete.

Bring in reports

  1. Upload the source on the company's Sales page, or use the sales Drive folder.
  2. Check that the file was read as a sales report rather than an individual document or customer workbook.
  3. Open Sales periods and choose the intended month.
  4. Inspect the terminal/day grid and the sources behind its readings.
  5. Review holds, review items, and each planned branch invoice.

Supported readers cover several spreadsheet, text, XPS, PDF, and image report formats. A format being supported does not guarantee that every variation is readable. Keep a legible complete source and follow any read failure or unsupported-layout message.

Clear holds and review items

Open the underlying readings and compare them with the source. Use the specific acknowledgement or correction offered. A review item asks for a person's judgement; it is not a reason to bypass a hold without evidence.

Download the period's XLSX working paper when you need to inspect or retain the calculation. Use correction controls for an excluded reading, a terminal not used in the month, or a changed branch label.

Release the period

Release belongs to a person on the period page. Once the plan is eligible, choose Release, inspect the confirmation and number of invoices, and confirm. The workflow creates the branch invoices as drafts in Juan.

A sweep, schedule, automatic sending setting, or recompute does not release a POS sales period. The release checks existing invoice references before creating invoices, because a reference alone does not prevent Juan accepting duplicates.

After release

Review the drafts in Juan. A sent period invoice is not rewritten just because a source or setting later changes. If you discover an error after sending, investigate the existing draft and the correction policy rather than repeatedly releasing the month.
