Review a file and understand its sending status

Separate processing, vouching, sending, and Juan status so you know which action a file needs next.

In this guide

A file can be processed successfully without being sent, and sent without yet being approved in Juan. Read the file's messages alongside the separate status columns.

What each status describes

StageThe question it answers
ProcessingWas the source read, or does a file or workbook issue need attention?
VouchingFor configured purchases, what did the paperwork checks establish?
Sent to JuanWas a send started and acknowledged, or is it waiting, held, or still settling?
In JuanWhat is the linked accounting transaction's latest synchronized state?

Sales are not vouched. A missing purchase-vouching result is also expected at a handoff-only company.

Review before sending

  1. Open the file from its company's list.
  2. Check the preview and the side: purchase or sale.
  3. Read any processing errors, holds, and findings.
  4. Resolve held workbook rows or review evidence through the actions offered.
  5. For sales documents that need it, confirm the document kind.
  6. Use Send only when offered and you intend to create the draft in Juan.

Members can operate assigned companies under the existing controls; admins configure whether sending is off, manual, or automatic. Automatic sending can send an eligible item without another click.

While a send is in progress

Wait for the outcome. Mendiola claims a send before calling Juan and then reconciles the resulting draft. An unanswered request does not establish that nothing was created.

Reload or revisit the file to follow the recorded state. Do not upload a second copy or repeatedly create transactions in Juan while an earlier request is settling. If it remains unresolved, send your admin the file reference and displayed message.

After a draft appears

Open the linked transaction in Juan, check the amounts, accounts, taxes, counterparty, and source, then approve it there when correct. Mendiola's snapshot can lag behind a change in Juan until synchronization finishes.

An archived company accepts no new sends. Existing requests can still finish and update their historical records.
